Received complaint about no rugs in an owner owned unit of Heritage Green Condos on
May 23rd. SF called for details. Since a flood on March 21 and subsequent removal of
rugs the owner has been on bare cement floors for over 2 months. She says nothing is
being done and her phone calls are not being returned. I told her I did not need to inspect
since she was a homeowner,however I would casually inquire to find out the status of
repairs. She also told me about the contractor who wants 2,000 down before doing any
work. I also recommended that before giving a rug installation contractor ANY money
she should check the references and be sure.of their integrity in the business.
SF spoke to mgmt at Heritage Green about the flood damaged rug replacement. Karen
Sorkin,Diversified funding manager,gave SF the correspondence sent to the
homeowners about the procedures to have the damage repaired. (See attached)
SF called Ms. Ciazzo back and discussed her concern. She was directed to contact Ms.
Sorkin again to check the status of her estimate submission and/or to follow-up with a
letter asking the same questions. If no response she should attend the Tuesday evening
Board meeting of Heritage Green condo association to speak up about her situation.

RE: INSURANCE CLAIM INFORMATION UPDATE
I would like to take this opportunity to update the information you have on
the status of the insurance claims effecting your units. The damage created by
this storm has involved both of our insurance policies. One policy deals with
surface water, and the other with wind-driven water, or the leaks you sustained
from leaking windows, roofs and sliding doors.
Most of you have already been seen by our Public Adjuster and by the
appropriate adjuster from.the insurance company that deals with your situation.
Anyone not seen by'April 17th will have to call our private insurance adjuster, Ken
Viafore, and try to set up an`,appointment with him. He can be reached at 1-800-
677-5454.
Those of you whose units have been seen are encouraged to get your
repair estimates as soon as possible, and send copies to me in the office.
These estimates will be compared to the adjusters' figures, and you will be
notified as to what your allowance will be.
Allowances for.each unit will be determined in the following manner.
There is a $25,000 deductible that has to be subtracted from the total amount of
the insurance award from the flood insurance policy, and there is a $5,000
deductible that will apply to.'the other types of claims. Also to be deducted are
the adjusters' fees, and any depreciation of materials involved.
The entire net amount of each claim must then be determined. Each unit
will absorb a'percentage of the deductible, based upon the size of the claim.
That amount will be deducted from the amount that the adjuster has allowed for
that unit (a larger claim will have a greater percentage of the deductible
subtracted from the proceeds).
The insurance payment will be made to the Association who will then
issue individual checks to the unit owners.
Again, we encourage you to get estimates. If you dont want to wait for
the claim to be settled, you may go ahead and purchase what you need. Keep in
mind that you will only receive an amount that replaces the damaged materials
as determined by the adjuster, minus the above-mentioned charges. If you wish
to upgrade anything, it will be at your expense.
Hopefully, this letter has given you the information that you need. I will
send out another update as.soon as I have more information to share with you. If

Re: Water Damage,Insurance Claim, Repair &Resolution
The rainstorm of March 21 and 22, brought about five inches of rain to North Andover causing
flooding throughout the town. The town declared a state of emergency on Thursday, March 22.
Heritage Green had more than fifty units that took on water. The calls started coming in Thursday
morning and never stopped. The majority of the water extraction was completed by late Saturday.
The maintenance staff was somewhat overwhelmed but did a good job under the circumstances. The
cleanup will probably continue for a few more days. More calls continue to come in as people come
home from being away. It is important that each owner whose unit has experienced water from this
storm notify the office as soon as possible. If your unit experienced water leaks or flooding, please call
the office and let us know whether your unit took on water.
Heritage Green has hired a public adjuster to represent the Association in an insurance claim against
the association's flood and earthquake policy. The policy has a $25,000 deductible. Before any work
can be done both the Association's public adjuster and the insurance company adjuster must see all of
the units. The,quickest way to inspect all units is to have both adjusters inspect the units at the same
time. With this in mind the inspections will be scheduled for Monday, April 2, Tuesday, April 3 and
Wednesday, April 4 between 9:OOAM and 5:OOPM. You must provide access to your unit at this time
so that you can.be. considered for the claim The adjusters will determine what, is covered under the
Association's policy. The claims process is expected to be long and complicated. ' We will ask the
insurance company to release funds to get the work started. The insurance companyds'`riot obligated to
do so but usually is cooperative. You will be contacted about the most probable time period for your
inspection. We can not guarantee a specific time.
Unit owners are responsible for their share of the deductible, for finding substitute'housingif necessary
and for loss of personal belongings. The Association does not carry loss of use' coverage for the
benefit of the unit owner. Personal belongings are not covered under the Association's insurance
policy. All of these things are usually covered under the unit owner's HO-6 policy or the tenant's 1-10-
4 policy. The Association will not be responsible for any loss not covered by the Association's
insurance policy.
Again with the.idea of moving the process along each owner should get an estimate from a licensed
and insured contractor to make the repairs to his or her unit. With this in hand the`owner will be able
to have repairs made as soon as the insurance company releases the claim. The number of units
impacted by this storm will unavoidably delay resolution of the "claim. The Association will try to
move the process along in any way possible. Vie are sorry for the inconvenience and hardship this
natural disaster has caused you. We appreciate your cooperation and will work to''restore order as soon
